How can I participate in the Annual Conference?

This year, we have an in-person option (which includes online access) taking place in West Palm Beach, Florida, and an online-only option that allows you to attend from anywhere. So join us the way you’re able. Both formats will contain the same excellent education, the opportunity to earn CNE, on-demand access to education after the live event, and dedicated networking opportunities so you can connect with your fellow nurses, talk to speakers, and meet industry partners whether you’re joining us in-person, online, or both.

I am not able to travel to West Palm Beach; what will the virtual experience be like?

We will live-stream all of the keynote & general sessions, as well as the sponsored symposia. In addition, one concurrent session and one group of live-poster chats will also be live-streamed as well. All other concurrent and paper sessions will be pre-recorded and available on the conference platform beginning Monday, September 19. We are also pleased to offer networking opportunities in the virtual platform, a virtual poster hall, and opportunities to meet with exhibitors.

I will be attending in West Palm Beach, Florida. Will there be restrictions for in-person attendees?

As a healthcare organization, we feel it is important to follow current CDC guidance with the conference structure. To safeguard the health and well-being of those attending the Annual Conference, individuals must provide proof that they have tested negative for COVID-19 via a PCR test administered 72 hours or less prior to their first day of attendance at the Conference. In lieu of providing such proof, individuals may voluntarily provide proof that they have received all COVID-19 vaccines recommended by the CDC. In addition, we understand that the comfort level of our attendees will vary. Therefore, our meeting space will be structured to allow participation based on individual preferences.

APHON will continue to update the website and provide additional communications to exhibitors and attendees as planning continues and as public health guidance from the CDC evolves. Visit the Florida COVID-19 website for the most current updates.

What if I start to feel unwell while attending the in-person conference?

If you start to feel unwell while attending the in-person event, we encourage you to participate in the event on our virtual platform from your hotel room. Visit the West Palm Beach Covid testing locations website if you wish to find the nearest COVID-19 testing center while in West Palm Beach.

Why is APHON insisting on proof of a negative PCR test or documentation of full vaccination to attend the conference in-person?

The health and well-being of our Conference attendees is our top priority. APHON is closely monitoring the COVID-19 pandemic and will update our website with information as CDC guidance evolves. To safeguard the health and well-being of those attending the Annual Conference, individuals must provide proof that they have tested negative for COVID-19 via a PCR test administered 72 hours or less prior to their first day of attendance at the Conference. In lieu of providing such proof, individuals may voluntarily provide proof that they have received the primary series doses of COVID-19 vaccines as recommended by the CDC. Boosters are recommended, though not required. Please continue to check the Conference website for more information on how to upload your vaccination or negative test status.

How will APHON validate vaccination for the in-person conference attendance?

During the registration process, APHON is requiring each registrant (attendees and exhibitors) to affirm that they will provide proof that they have tested negative for COVID-19 via a PCR test administered 72 hours or less before their first day of attendance at the Conference or that they will provide proof that they are up to date on all required vaccines upon arrival at the Conference. Attendees will also affirm that they agree to follow all health and safety protocols announced or posted for the event. APHON will utilize a verification app service for all attendees to submit the required documentation BEFORE gaining entrance into the Conference.

Will I be required to wear a mask during the 46th Annual Conference and Exhibit?

There is no current mandate from the state of Florida or Palm Beach County. For those traveling to Florida from another U.S. state, there are currently no travel restrictions or quarantine requirements if one is healthy.

At this time, APHON is not requiring attendees and exhibitors to wear face coverings/masks. APHON will continue to monitor and assess evolving public health guidance regarding the use of masks in large gathering settings and will provide additional guidance on mask-wearing on or before September 1, 2022.

What's included in Registration?

In-Person Registration

In-person registration includes all general sessions, concurrent sessions, paper, and poster presentations, exhibit hall access, the welcome reception in the exhibit hall, nursing continuing education, handout materials, all symposia (pre-registration is required), and the recognition session for certified nurses (pre-registration required and you must be a CPON®, CPHON®, OCN®, or BMTCN® to attend), and access to the recorded sessions through the on-demand period in the virtual conference platform.

Virtual-Only Registration

Virtual-only registration includes access to the live-streamed sessions during the live event dates and access to pre-recorded concurrent and paper sessions, nursing continuing education, handout materials, the virtual poster hall, and virtual networking opportunities with attendees and industry partners.

We are pleased to share that in-person and virtual attendees of the Annual Conference can earn up to 26.25 CNE contact hours*. Additionally, all attendees will have on-demand access to the educational content through December 31, 2022.

*CNE certificates will be available to print online after the conference by completing all online evaluations. Please note that evaluations will remain open until December 31, 2022. After this date, the system will not allow for any evaluations to be completed. CNE contact hours will not be awarded to attendees that fail to submit their evaluations before December 31, 2022. You should be aware of the continuing education requirements of your state board of nursing, especially for those states in which continuing education is mandatory.

What will be different in the education sessions?

The Palm Beach County Convention Center does not have physical distancing guidelines, however, to support APHON’s strategic goals of inclusivity and to be sensitive to and promote the psychological safety of attendees, APHON is providing a customizable onsite experience that will offer a mix of physically distanced and regular seating. It is our goal to provide options to those attending our conference and meet their comfort-level.

Will the educational sessions be available after the live event?

Yes, session recordings will be available following the live conference until December 31, 2022. Attendees can earn CNE contact hours by completing evaluations by this date.

Confirmation Packet

Your meeting registration confirmation and additional conference information will be e-mailed once your registration has been received and processed. If you do not receive a confirmation within 48 hours of registering online or by phone or within three weeks of submitting your registration by mail, please call APHON at 855.202.9760 (US residents) or 847.375.4724.

Cancellation & Transfer Policy

All cancellations must be submitted in writing to info@aphon.org. A $100 processing fee will be charged for all cancellations postmarked before September 2, 2022. No refunds will be made under any circumstances on cancellations postmarked after September 2, 2022.

All transfer requests must be submitted in writing to info@aphon.org. A $10.30 processing fee will be charged for transferring from the virtual to the in-person conference or from the in-person to the virtual conference. Transfer requests must be received by email or postmarked before September 2, 2022. We will not honor transfer requests submitted after September 2, 2022.

An attendee may transfer their registration to an alternate person by submitting a request in writing to the APHON Member Services Department at info@aphon.org. The request MUST come from the original registrant. The individual registrant is the owner of the registration and must provide consent to transfer their registration to an alternate individual.We will not honor transfer requests from an institution that paid the registration fee.

APHON reserves the right to substitute faculty or cancel or reschedule sessions due to low enrollment or other unforeseen circumstances. If APHON must cancel the entire meeting, registrants will receive a full credit or refund of their paid registration fee. Unfortunately, APHON cannot issue refunds for lodging, airfare, or any other expenses related to attending the conference.

Credit Card Processing Fee

A 3% credit card fee will be added to all purchases related to the Annual Conference. This fee will be noted on the checkout page online, and in the itemized receipt you’ll receive after submitting payment. Please reach out to info@aphon.org with any questions.

Disclosure

All speakers and planners are required to disclose to program participants any relevant relationships, including financial interests or affiliations with a commercial company. Full disclosures will be made available to program participants by verbal or written statements before the activity. The material presented in each conference activity represents the opinion of the presenter and not necessarily the views of APHON.

Will there be networking?

Yes, we know networking is an important resource for attendees and are putting together a variety of opportunities. We are excited to bring back our After Dark Networking Event on Friday evening and are looking forward to celebrating our first time being together since 2019!
