F.A.Q. Please find questions and answers below

Will the APHON 2020 Annual COnference and Exhibit be rescheduled?

While the in-person meeting will not be rescheduled, APHON is planning to present as much of the 2020 Annual Meeting content and sessions as possible through alternative methods.

Why was the decision made to transition to a virtual conference for the 2020 APHON Annual Conference & Experience

Due to COVID-19 and current New York City rules and regulations, an in-person conference is impossible and impractical to hold.

Will APHON consider New York City as a host city in the future?

Absolutely. We are all disappointed that the conference cannot occur in New York this year and we will investigate the feasibility of booking in New York again in the future.

Will the virtual content be delivered during the same dates as the original in-person meeting dates?

According to the responses received from the COVID-19 Impact Survey and in an effort to best meet your needs, we are planning to deliver live education and engagement September 2-4 with opportunities for on-demand access to education through December 31, 2020.

What's Included in Registration?

The full conference registration fee includes: all general sessions, concurrent sessions, paper, and poster presentations, access to a virtual exhibit hall, nursing continuing education, handout materials. APHON is pleased to share the attendees of the Annual Conference can earn up to 25.5 CNE contact hours*. Additionally, all attendees will have on-demand access to the educational content through December 31, 2020.

*CNE certificates will be available to print online after the conference by completing all online evaluations. Please note that evaluations will remain open until December 31, 2020. After this date, the system will not allow for any evaluations to be completed. CNE contact hours will not be awarded to attendees that fail to submit their evaluations before December 31, 2020. You should be aware of the continuing education requirements of your state board of nursing, especially for those states in which continuing education is mandatory.

Will the educational sessions be available after the live event?

Yes, session recordings will be available following the live conference until December 31, 2020. Attendees can earn CNE contact hours by completing evaluations by this date.

Disclosure

All speakers and planners are required to disclose to program participants any relevant relationships, including financial interests or affiliations with a commercial company. Full disclosures will be made available to program participants by verbal or written statements before the activity. The material presented in each conference activity represents the opinion of the presenter and not necessarily the views of APHON.

Will there be networking?

Yes, we know networking is an important resource for attendees and are putting together a variety of opportunities.

Will you still plan to hold the Leadership Course and/or Chemo Bio Instructor Course virtually?

Yes, the presenters have expressed an interest in still presenting these courses and are currently discussing details on how to make the virtual course format a valuable experience for participants. These courses may be held at another point this year outside of the live conference dates and details on this will be shared as soon as possible.

I am a speaker. How will my education session/paper presentation be shared/presented?

We are planning to utilize Zoom and a virtual conference platform for delivery of live and pre-recorded session content. Presenters will have the opportunity to engage attendees using these conference tools for Q&A. Any special session needs such as polling or use of videos will need to be communicated with APHON's Education Manager, Jennifer Schap.

My poster was accepted for presentation at the 2020 Annual Conference. Will there be an e-poster presentation option?

Yes, we will have a Virtual Poster Hall available for conference attendees.

My abstract was accepted for presentation at the 2020 Annual Conference, but I will no longer be able to participate. Can I present at the 2021 Annual Conference Instead?

2020 Annual Conference presenters may choose to withdraw from participation in the virtual conference. However, they will be expected to resubmit their abstract for review for the 2021 Annual Conference. Please contact APHON's Education Manager, Jennifer Schap to request to withdraw from this year's program.

As a speaker, am I expected to present virtually?

All education session presenters will be asked to present virtually for the 2020 Annual Conference. APHON is currently evaluating tools for our virtual poster hall which may have functionality for poster presenters to provide a brief recording for their presentation and may also be asked to present virtually. Please be assured that APHON staff will be available for support and guidance along the way to ensure that the experience is as easy and stress-free for our presenters as possible. However, if any presenter feels uncomfortable presenting virtually, please contact APHON's Education Manager, Jennifer Schap to discuss withdrawing from this year's program. Please note that you may be asked to resubmit your abstract for review for our 2021 Annual Conference.

I am a speaker. Would it be possible to request an extension on the presentation/handout/e-poster deadline of July 27?

No, we will need your content to be ready no later than the deadline of July 27 to ensure that we will be able to set up our event in time for our September 3-5th live event dates. If your content will not be available by this date, please contact APHON's Education Manager, Jennifer Schap, to further discuss your options.

When will registration open for the virtual meeting?

We are working hard to open the registration for the virtual meeting by mid-July.

Will the registration fee be lower than the in-person meeting?

We are currently performing a cost analysis of the expenses associated with developing the virtual conference experience and will provide information about the conference fees as soon as possible.

I transferred my registration from the Annual Conference in Savannah, GA to this year's conference. Can I use this on the virtual conference or transfer my registration to Salt Lake City?

You may certainly utilize your registration from the 2018 Annual Conference transfer towards the virtual experience or transfer the registration to the 2021 Annual Conference in Salt Lake City. You will be contacted by the APHON staff with specific instructions once the registration is open for the 2020 Annual Virtual Conference.

Will virtual exhibit opportunities exist for 2020 Exhibitors?

Yes, APHON will be hosting a virtual exhibit hall. The virtual exhibit hall will include features that will allow exhibitors to share, network, engage attendees in real-time, drive traffic, and highlight their products as each company would be able to in a 'live' exhibit environment. A base exhibit package will be available for purchase, along with several opportunities to customize the virtual exhibit space to support each company's goals. Please contact the APHON Professional Relations and Development Manager, Allison Whitley for any other exhibit or promotional questions.
